Printing Overview

Sending a job to a printer

Via library computer

  1. Open document and select Print.
  2. Choose library printer from options - Default is black & white.

Via laptop with WebPrint

  1. Ensure you're connected to AirYorkPLUS wifi.
  2. Log in with Passport York to WebPrint (PaperCut) and click Submit A Job
  3. Select a printer, such as arruda\LB-Bronfman-PRNT-B&W (virtual) if you are at Bronfman
  4. Enter the number of copies for printing
  5. Upload your document
WebPrint limitations
  • No double-sided printing.
  • No partial document printing. Must be the full document.
  • Cannot print multiple slides per page.
  • Cannot print slide notes.
  • Large PDFs can be very slowly processed on the print servers.
  • Only certain file types (including PDFs and Office files) are accepted.
  • Known issues listed by UIT

Releasing a job from a printer

  1. Tap or swipe YU card on printer OR log in with Passport York. (Or log in manually with Passport York)
  2. Select print job from queue to print.
  3. Cash balance will be displayed on screen.

Other information

  • B & W - 10 cents/page | Colour - 25 cents/page
  • Unreleased print jobs are deleted from the queue overnight.
  • Passport York of the sender and payer must match to print.

Adding money to YU card

Via YU card 'PHIL' station

  • Machines only take cash - $5, $10, or $20 bills
  • Available in all library branches.

Guest printing

Guests need both a guest account and a guest YU card to print. 

Guest account

  • Get from library service desks with valid, government-issued photo ID (excluding health cards).
  • Valid for one-day use.
  • Visiting scholars can arrange for a Sponsored Guest Account instead.

Guest YU card

  • Purchase from YU Card 'PHIL' machines inside the library branches - $5 cash needed
  • Follow instructions on machine to load cash onto card.

Fixing errors

Deleting jobs from the printer

  1. If there is a printing problem, the Check Status light appears.
  2. The option to delete a job is presented.
  3. The student can log into the printer and select the jobs to delete.

Paper jams

  • Printer jams are rare. Contact any circulation staff member to clear the jam.

Paper size error

  1. If a student selects a paper size we do not have, the Check Status light appears.
  2. Select the Check Status button and the problem will be listed.
  3. Follow the instructions provided on the display. 
  4. Select to print on paper loaded and generally the printouts look fine.

Toner replacement

  • Keele - Call the hotline 416 712 2703  for Scott Library
  • Frost - Call the hotline  416 487 6726 for Frost.   Coordinator will call Ricoh directly to order toner replacement at 1-800-267-9469.

Refunds

Step-by-step instructions

  1. Login to the refund page at https://webprint.uit.yorku.ca:9192/admin
  2. Authorized staff will need to enter their username and password.
  3. From dashboard, select Logs from left side of screen.
  4. From the Logs page, select Filter On to show options.
  5. Enter the patron's username in the user box, then select Apply Filter.
  6. Locate the job(s) you wish to credit then select Refund to the right of each entry.
  7. Inside the Comment box, enter full name of patron, student number, and/or card number, the printer used, date & time, reason for the refund, and the person returning the refund.
  8. Prior to issuing the refund, print out the refund page to retain a copy for our records - The refund page cannot be retrieved after the transaction is done.
  9. Select OK to complete the refund.

Common Printer Troubleshooting Questions

Troubleshooting Questions:
  • "I can't see my document in the queue when I swipe my card": The patron may not have enough credit in their account. Add funds. Or, check if they sent the job to the right printer, and try resending the job.
  • "I can't see my balance when I type in my username and password": The patron may have a new YU card which needs to be registered with a Passport York account. Swipe the card at the print station and follow prompts.
  • "Customer outside active dates" machine message: The patron's card has expired, likely due to an approaching graduation date. These students may still have active library and Passport York accounts, as well as YU card balances remaining (ex. Flex Dollars). To have the card extended/reactivated, if the student has not yet graduated, call the YU card office directly.
