1) Go to https://yorku.libapps.com/libapps/login.php
2) Sign in with your LibApps username and password (these may not be the same as your Passport York)
3) Click the blue drop down in the top right corner of the screen and select "LibAnswers"
4) In the header of LibAnswers select the Ref. Analytics drop down and select "Add Transaction"
1) Ref. Analytics stores transactions in a number of datasets divided by the type of service provided. Before adding a transaction, make sure the dataset at the top of the page matches what service you were providing. (E.g., if you are working at a circulation desk, make sure the dataset says "Circulation"). You must click "Go" after selecting a new dataset, and you will see the header at the top of the page change colours once the change is complete.
2) Fill in the question and answer section at the top of the page.
a) You do not need to enter the complete question, a summary will work.
b) Don't include an answer if it won't be helpful in the future (E.g., "Where's the washroom?" doesn't need an answer)
3) Below the question and answer section, select the appropriate options from the fields (E.g., Physical Location, Language, etc.)
1) When you end a chat, a popup will appear with a Question and Answer field, as well as the same data fields in Ref Analytics. The first drop down in the popup is for the dataset the transaction will be logged in, make sure the dataset matches the service you provided.
a) If you are handling another chat at the time, close the pop up and log the chat later when you have time.
2) After you've ended a chat, but before you close it, there is a bar chart icon in the top right of the screen. If you click that button, the same popup described above will appear.
1) Log into LibAnswers, in the header click on LibChat and select Transcripts from the drop down menu.
2) Navigate to the transcript of the chat you wish to log and click on the bar chart icon.
3) A popup will appear with a Question and Answer field, as well as the same data fields in Ref Analytics. The first drop down in the popup is for the dataset the transaction will be logged in, make sure the dataset matches the service you provided.
4) Fill out the popup with the appropriate information and click "Save".
1) You can find the patron's information in LibChat by selecting the "Patron Information" tab in the chat.
2) If you closed the chat before looking at the patron's information, you can also find it in LibChat > Transcripts by clicking on the eyeball icon next to the appropriate transcript.
1) If need to edit a transaction you logged, return to LibAnswers, select Ref. Analytics and choose "View/Edit Transaction."
2) You will see a list of transactions stored in each dataset, you can filter these results with the drop downs at the top to find a specific transaction. Filtering by your name in the "Owner" field will show transcripts assigned to you.
3) When you find the transaction you wish to edit, click on the pencil and paper icon to open the transaction for editing.
4) This will open the same screen as "Add a Transaction" populated with the information you provided earlier. Make any necessary changes and click "Save Changes."
