Public Services Manual: Photocopying & Scanning

General Information

Photocopying is available via the printers in all library branches at the same cost as printing.

Scanning is available via scanners in each library. There is no cost for scanning.

Photocopying & Scanning

Photocopier instructions

  1. Scan YU Card or enter PPY username and password
  2. Tap the screen where it says "Use Device Functions"
  3. Place original print side down on the glass; or, if doing a multi-page document, place the document in the feeder print side up
  • Double-sided photocopying is available by select the double-sided features (1 to 2 or 2 to 2 paper icons)

Scanning instructions:

  1. Log into the computer attached to the scanner with your Passport York
  2. Select the scanner icon on the desktop
  3. Follow instructions on screen
  4. Log out when you are finished
  • By default, scans are saved in My Documents folder. To save to USB, you must select this option when prompted by scanner set-up

Troubleshooting

Photocopying

Double-sided copying
  • The correct setting for double-sided copying is evident on the copier display. Look for the 1 to 2 or 2 to 2 icon
  • Double-sided copying is not cheaper than single-sided. You pay per side not per sheet of paper
Automatic time-outs
  • The copier times out about 30-40 seconds after tapping a YU-card
  • You can logout of the copier by pressing the Clear button or by tapping your YU-card again
Reducing the copy size
  • Users wishing to copy textbooks or other large formats and shrink the results to letter or legal size can use the 78% or 73% presets under Reduce/Enlarge.
Paper orientation
  • Prior to pressing Start, make sure the paper tray selected under Paper Select is of the same orientation as the original on the glass as sometimes the machine doesn't detect this properly
Automatic paper feeder
  • The automatic feeders are sensitive and should not be used with paper that has holes or staple punctures as these cause jams
  • If jams occur, the paper can usually be slowly removed by lifting the top cover of the feeder and rotating the green wheel
Placement of originals
  • The feeder takes originals face up, while the platen glass takes them face down
Refunds
  • There is no mechanism for photocopying refunds. If warranted, photocopy the job for the student using a staff photocopier

Scanning

Scanner cannot locate desktop
  • If this error message appears, try rebooting the computer. If this doesn't resolve the issue, unplug the scanner from the desktop and re-plug it in, then reboot the system again
Poor quality image
  • Students might complain that the image is too small or poor quality. They are likely looking at the preview thumbnail, whereas the final scanned image is good quality.
